Job Title: Event Planning Manager

We are seeking a highly organized and detail-oriented professional to coordinate conferences and events.

Key Responsibilities:
  • Liaise with the sales team daily
  • Liaise with the front office team for all reservation configurations
  • Liaise with the executive chef and kitchen department where required
  • Liaise with the food and beverage manager and supervisors on function setup requirements
  • Liaise with the director of sales on major quotes for conference groups
  • Issue function banquet event orders and circulate to all departments
  • Liaise with all departments in preparation for site inspections
Administrative Tasks:
  • Preparation of proposals, contracts, banquet event orders, invoices, floorplans and relevant paperwork
  • Ensure accuracy of banquet event orders prior to distribution
  • Assist the sales team in preparing revenue reports
  • Ensure advance deposits are received and posted accordingly
  • Ensure payment is received in full for all events as per hotel credit policy
  • Ensure all accounts are true and correct before distribution
  • Maintain the CRM system and adhere to database integrity standards
  • Distribute interdepartmental electronic paperwork for successful event implementation
  • Ensure impeccable record keeping for all function files
  • Identify new sources of residential conferences and special events
  • Respond to all requests within 24 hours
Operations and Sales:
  • Liaise with the food and beverage manager and supervisors and attend weekly BEO release meeting
  • Ensure hotel standards and policies are followed
  • Meet and greet all conference and event clients on arrival
  • Assist the operations team when required
  • Represent the hotel at industry events when required
  • Work outside regular business hours for special events
Additional Responsibilities:
  • Maintain hotel grooming standards and adhere to standard policies and procedures
  • Be compliant with conference and events bible
  • Comply with Work Health and Safety policies and procedures
  • Attend all scheduled meetings and training
  • Maintain a good working relationship with staff and colleagues throughout the hotel
  • Ensure all hotel property is maintained and remains in good working order
  • Maintain a positive and professional attitude
  • Other duties as requested by management
