The Role

  • Oversee file management at offsite storage facilities, including appraisal, classification, digitization, archiving, and destruction of records in compliance with client policies and relevant regulations.
  • Manage records at client locations within their Electronic Document and Records Management System (EDRMS) throughout the records lifecycle.
  • Handle digital file returns by uploading received digital files to the client's EDRMS.
  • Conduct monthly audits of records to ensure compliance and accuracy.
  • Perform annual reviews of classified records stored at offsite facilities.
  • Manage incoming file consignments from offshore locations, ensuring proper handling of physical records returned to Australia.
  • Direct the management of both digital and physical file consignments as required.
  • Ensure all records are appraised and classified according to client instructions and regulatory guidelines.
  • Facilitate the disposal and destruction of all classified records in accordance with established regulations.
  • Digitize records as retrievals or transfers occur and ensure the destruction of physical copies.
  • Provide a Scan on Demand service for clients.
  • Conduct scanning and digitization of various media records.
  • Perform quality assurance checks upon completion of the digitization process.

The Ideal Candidate

  • Must obtain and maintain an Employment Suitability Clearance (ESC), which involves a thorough pre-employment character and integrity assessment.
  • A minimum BASELINE security clearance is required prior to starting, unless specified otherwise.
