We are seeking a highly organized and detail-oriented State Administrator to join our team at people2people. As a key member of our administrative team, you will be responsible for providing exceptional support to our executives and ensuring the smooth operation of our office.
Key Responsibilities- Calendar Management: Manage and coordinate calendars for executives, ensuring seamless scheduling and timely reminders.
- Travel Coordination: Arrange domestic and international travel, including booking flights, hotels, and transportation.
- Financial Support: Work closely with the finance team to reconcile accounts, process invoices, and follow up on vendor payments.
- Administrative Support: Provide administrative assistance to senior directors, including preparing reports, presentations, and other materials.
- Urgent Queries: Attend to and monitor urgent queries, issues, and action items, ensuring timely resolution and follow-up.
- Building Management: Liaise with building management regarding maintenance work and other facility-related matters.
- Strong Administration Skills: Proven experience in diary management, administration, organizational, and time management skills.
- Administrative Experience: Previous experience working in an administrative or customer service environment.
- Support Experience: Experience supporting senior management in day-to-day duties.
- Communication Skills: Ability to communicate effectively both written and verbally.
- Problem-Solving Skills: Capacity to handle challenging situations in a professional and highly confident manner.
- Adaptability: Experience working in high-pressure environments with the ability to be adaptable to competing demands.
- Attention to Detail: High attention to detail with demonstrated initiative and problem-solving skills.
