Job Summary

We are seeking a highly skilled Maintenance Administrator to oversee the management of our remote sites around Perth.

The Role:

  • Maintain accurate site records, including daily machine hours, receipt purchase orders, create back charges documents, and fuel usage statistics.
  • Timesheet Entry for employees and subcontractors, ensuring timely completion and accuracy.
  • Maintaining and scheduling rosters to optimize productivity and resource allocation.
  • Raise and receipt purchase orders, cross-referencing against work scopes and sourcing parts efficiently.
  • Costing and invoicing of jobs - Create detailed breakdowns and quotes to meet client expectations.
  • Maintaining training records and assisting in the booking of training and inductions programs.
  • Facilitate the new starter process with inductions, site entry paperwork, and accommodation arrangements.
  • Assist with the maintenance and accurate upkeep of relevant databases, document management systems & registers.
  • Perform other administrative tasks as required to support the team's objectives.

Requirements:

  • Substantial experience within a fast-paced administration role with a focus on maintenance and operations.
  • A minimum of 2 years' experience as a Site Administrator or Maintenance Administrator.
  • Proficient in Microsoft Office Suite, particularly Excel, with advanced skills in data analysis and reporting.
  • Excellent organisational skills, with the ability to multitask and prioritise effectively in a dynamic environment.
  • Strong communication and interpersonal skills, with the ability to build strong relationships with colleagues and stakeholders.
  • Self-motivated, high-energy individual who consistently strives to deliver quality outcomes.
  • Must have full working rights within Australia and a valid Australian Driver's Licence.
