Conference Operations Specialist

We are seeking a highly skilled Conference Operations Specialist to join our team. As a critical support role within our global content operations team, you will be responsible for developing, managing, and executing various conference elements.

Main Responsibilities:

  • Lead the operational delivery of all agenda elements across multiple concurrent in-person conferences, ensuring seamless execution and exceptional customer experiences.

  • Collaborate with cross-functional teams to develop effective relationships, build best practices, and drive continuous improvement in conference quality worldwide.

  • Partner with program management to deliver client-focused agendas, developing new processes for session management and agenda guidelines.

  • Create and manage client-facing websites and conference apps, displaying session information for attendees and adhering to deadlines.

  • Analyze data to improve attendee engagement, predict behavior, and identify regional attendance trends.

  • Develop and maintain conference master planners, ensuring up-to-date session information and room allocation for stakeholders.

  • Attend conferences as onsite leads, managing session execution, data collection, and vendor liaison roles.

  • Partner with Content leadership on projects to scale business and bring best practices to the APAC region, identifying process improvements globally.

  • Evaluate experience, feedback, and results, implementing changes and creating detailed post-conference analysis reports and debriefs.

Expected Outcomes:

  • Achieve operational excellence, executing conferences on time, within budget, and with great attention to detail.

  • Maintain conference consistency through standardized processes, project management, and best practices during planning and execution.

  • Develop a comprehensive understanding of Gartner's conference business, including its value proposition for attendees and exhibitors.

Requirements:

  • Bachelor's Degree preferred.

  • 3-5 years of relevant event experience.

  • Experience working in a corporate environment.

  • Strong interpersonal and relationship-building skills, cross-functionally and with agency partners.

  • Creative, innovative, and strategic thinker with a strong attention to detail.

  • Motivated team player with a desire to learn and grow.

  • Excellent written/oral communication and presentation skills.

  • Demonstrated ability to adapt, implement, and manage change, striving for continuous improvement.

  • Excellent organizational skills and an ability to work well under pressure, meet deadlines, and thrive in high-pressure situations.

  • Willingness to support onsite conferences approximately 20% of time.
