Flight Operations Coordinator Job Description

We are seeking a highly skilled and detail-oriented Flight Operations Coordinator to join our team. The successful candidate will be responsible for coordinating and managing flight crew rosters by collaborating with various departments to achieve optimal operational efficiency, regulatory compliance, and seamless service delivery.

About the Role:

The primary objective of this role is to oversee the planning, coordination, and management of flight crew schedules to ensure that they meet client requirements while maintaining regulatory compliance. This involves working closely with different departments to identify resource needs, manage staff rosters, and facilitate communication between teams.

Key Responsibilities:
  • Collaborate effectively with the Flight Operations and Maintenance Teams to ensure rosters accurately reflect resource needs and meet client requirements.
  • Manage and coordinate staff rosters for all bases within the organization in accordance with regulations, contracts, and internal policies.
  • Ensure timely completion and availability of rosters to staff while meeting any regulatory requirements.
  • Liaise with Pilots, Engineers, and Tech Crew regarding changes and updates to the roster.
  • Coordinate with Flight Operations, Maintenance, and Travel to avoid conflicts with training and simulator sessions.
  • Obtain approval from senior management for significant changes to rosters, potential gaps, and changes incurring additional costs such as overtime.
  • Maintain accurate records and ensure that Pilots, Engineers, and Tech Crew details are current and all qualifications are monitored to remain within currency periods.
  • Manage and upload required documentation.
  • Identify improvements in roster/scheduling processes, collaborate with BCMs and SBPs/SBPs, and implement changes as required.
  • Support travel and accommodation requirements for Pilots, Engineers, and Tech Crew to meet organizational guidelines and regulations.
  • Generate and maintain audit-ready records for aviation authorities.
Required Skills and Qualifications:
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and prioritize tasks effectively.
  • Proficient in MS Office and ability to learn new software quickly.
  • Knowledge of aviation regulations and industry standards.
