The ACE Training Centre is part of Toll Aviation, a mission-driven business that supports lifesaving operations across Australia. Due to continued growth and expansion in NSW Health, Defence, and other critical aviation contracts, we are seeking a highly organised and proactive Client Services Assistant to support the delivery of outstanding customer experiences.
This exciting opportunity allows you to join a dynamic aviation training environment and provide vital support to our Client Services Coordinator and broader training team. As a Client Services Assistant, you will play a key role in ensuring seamless delivery of services for staff and students attending The ACE Training Centre.
Key Responsibilities:
- Coordinate orders, vendor communications, quality checks, and deliveries with high accuracy and attention to detail.
- Prepare and dispatch uniform packages to staff across various contracts with efficiency and precision.
- Raise and track purchase orders to ensure timely and cost-effective procurement.
- Reconcile invoices and purchase documentation with minimal errors.
- Assist instructors with organizing training material to enhance learning outcomes.
- Manage boardroom bookings and coordinate executive-level visits to facilitate smooth communication.
- Provide catering and event support for training and meetings with exceptional service.
Requirements:
- A customer-focused mindset with strong interpersonal skills to deliver exceptional customer experiences.
- Highly organised and able to manage competing priorities in a fast-paced environment with minimal supervision.
- Previous experience in administration, facilities, or customer service roles with a proven track record of success.
- Strong attention to detail, particularly in procurement and inventory management, to maintain high levels of accuracy.
- Ability to take initiative and work both independently and collaboratively as part of a dynamic team.
- Comfortable with basic finance tasks such as invoice matching and PO tracking with minimal guidance.
