Job Overview

We are seeking a highly skilled and motivated individual to join our team as an Operations Coordinator.

This is an exciting opportunity for a professional with experience in customer service operations, preferably in international air freight, logistics, or distribution.

Key Responsibilities:
  1. Monitor Shipments: Ensure timely delivery of shipments within agreed timelines by closely monitoring all inbound and outbound shipments on a daily basis.
  2. Utilize Operating System: Plan, execute, and monitor import and export shipments effectively using our operating system "Maestro".
  3. Coordinate Collections: Coordinate collections, deliveries, drop-offs, and recoveries with other departments, agents, and drivers.
  4. Maintain Communication: Maintain regular communication with the Packaging Team to ensure the availability of required supplies for collections, deliveries, drop-offs, and recoveries.
  5. Process Temperature-Sensitive Shipments: Process temperature-sensitive shipments designed for the special requirements of Cold Chain transportation processes.
  6. Prepare Shipments: Prepare and maintain temperature-controlled shipments as needed.
  7. Provide Documentation: Provide necessary documentation to agents/drivers for collections, deliveries, drop-offs, and recoveries.
  8. Confirm Recoveries: Confirm that every recovery is complete by matching information against manifests during reception processing.
  9. Expedite Dispatch: Expedite dispatch to tender shipments immediately after collection and alert receiving agents/offices.
  10. Notify Discrepancies: Notify any discrepancies to respective departments, agents, or offices and update Maestro accordingly.
  11. Verify Shipments: Verify that shipments are ready for final destinations and obtain Master Airway Bill "MAWB" consignment instructions.
  12. Define Routes: Define the most efficient route to dispatch shipments to their final destinations.
  13. Condition Shipments: Condition shipments as required and update relevant milestones in Maestro.
  14. Obtain Bookings: Obtain bookings with airlines and consign MAWBs as instructed.
  15. Enter Route Legs: Enter Route Legs for international flights.
  16. Send Alerts: Send alerts through Maestro.
  17. Coordinate Drop-Offs: Coordinate drop-offs to airlines according to SOPs.
  18. Update Maestro: Use Daily Schedule Reports to update Maestro with departures from airports.
  19. Handle Irregularities: Handle irregularities and perform additional administrative tasks as deemed necessary.
Required Qualifications:
  1. Professional experience in customer service operations, preferably in international air freight, logistics, or distribution.
  2. Existing knowledge and experience in the pharmaceutical and clinical trial industry is preferred.
  3. Commitment to quality and attention to detail.
  4. Strong customer focus.
  5. Team player, self-dependent, and motivated to succeed.
  6. Proficient in MS Office, Excel, and Word.
