This position is responsible for ensuring the accuracy and efficiency of financial functions within a team environment. The Finance Officer will be responsible for processing credit applications, invoicing, debt collection, Accounts Receivable, and Accounts Payable.

Responsibilities:
  • Process all Credit Applications, ensuring timely notification to clients and professional communication.
  • Manage Accounts Receivable duties, including setup of A/R accounts, creditor details verification, and accurate processing.
  • Ensure Trade Debtors' invoices are accurate, supported by valid payment guarantees, and room rates are correct.
  • Daily transfer of invoices to the City Ledger and prompt emailing/mailing to debtors.
  • Complete daily summaries of adjustments related to the City Ledger and distribute as necessary, reconciling with PMS reports at the end of shift.
  • Regularly follow up on debtors trading beyond their normal terms and notify Financial Controller/Assistant Financial Controller of any issues.
  • Verify travel agent commission payments weekly and ensure completeness of credit card transactions.
  • Liaise with Front Office and bank for credit card disputes.
  • Prepare and forward Month End reports to Financial Controller for balance sheet reconciliation.
Accounts Payable Responsibilities:
  • Verify invoices for accuracy and authorizations, attaching approved purchase orders and signed-off invoices from relevant department heads.
  • Maintain vendor information in the A/P module.
  • Coding of invoices with supplier and general ledger account codes, ensuring proper accounting of Goods and Services Tax in the A/P Ledger.
  • Reconciliation between inventory system ledger and Accounts Payable ledger at month-end.
  • Control measures to avoid duplicate accounting or payment of invoices.
  • Payment runs strictly following vendor payment terms.
  • Reconciliation of detailed payment run report with approved invoices and purchase orders before authorization.
  • Coordinate overseas payments with banks or available online facilities.
  • Reconciliation of suppliers' statement of account and follow-up for missing invoices.
Additional Information:

This role supports Finance by handling credit apps, invoicing, collections, A/R, A/P, and cashiering, enhancing team flexibility and skill base.
