We're seeking a skilled Executive Assistant who is proficient in Japanese and English to join our team, providing high-level support to executive directors.
The role involves driving efficiency and productivity within the business, requiring high-level comprehensive support to executive directors. Effective communication with executives from Kao HQ in Japan demands proficiency in Japanese.
Key responsibilities will include:
- Supporting executive directors with designated administrative tasks
- Managing complex calendars, prioritizing tasks, and reallocating where necessary
- Coordinating meetings, preparing agendas, materials, documents, reports, and minutes
- Researching and following up on executive leadership team matters, ensuring timely responses and action
- Processing correspondence, ensuring incoming mail is dealt with promptly, redirecting enquiries as needed
- Communicating effectively with stakeholders internally and externally, via various mediums across all levels of the business
- Coordinating general purchasing activities, including office supplies, grocery supplies, equipment, and furniture, managing the Officeworks account
- General office coordination and management
- Finance administration and expense management, ensuring corporate credit card purchases are processed efficiently and creating purchase orders when required
