Job Summary

We are seeking an experienced Operations Manager to support the internal operations of one of our trade associations. This role will also support a second association client in the future, requiring strong project management and organizational skills.

Main Responsibilities:

  • Oversee daily operations and staff assigned to the client association, supporting the Executive Director (ED).
  • Manage project details in the project management system.
  • Establish communication and reporting mechanisms with vertical leads for updates on projects, goals, budgets, and issues.
  • Identify tools to improve internal communications and reporting.
  • Assist in creating and maintaining SOPs, records, and policies.
  • Oversee database usage and suggest process efficiencies.
  • Coordinate staff meetings, set agendas, and communicate expectations.
  • Monitor staff workflow, analyze staff hours, and communicate issues to the ED.
  • Oversee project management with Coordinators and produce monthly operations reports.

Collaboration with Affiliates:

  • Manage website oversight and vendor communication.
  • Support membership recruitment and retention programs.
  • Track ad revenue from publications.
  • Review support issues with association management software.
  • Manage accreditation tasks, vendor relations, contracts, and reports.
  • Oversee chapter relations and manage nominations/elections processes.
  • Support awards program activities.

Meeting Support:

  • Attend monthly and annual Board meetings, including in-person events.
  • Manage staff for annual conference, develop the event schedule, and attend the conference.

Requirements:

  • Bachelor's degree and previous association management experience.
  • Strong project management and organizational skills.
  • Ability to handle multiple projects efficiently.
  • High attention to detail.
  • Effective communication and customer service skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to lift up to 25 pounds and stand for extended periods during conferences.

Travel: 4-5 times per year. Location: Predominantly telecommuting.
