Project Coordinator for Commercial Directors

The role of Project Coordinator is a crucial support position for the Commercial Directors within Australia. This coordinator will provide hands-on assistance to enhance the productivity of the Commercial Directors, coordinate meetings/events/forums, and manage various reporting mechanisms including Commercial reporting.

Key responsibilities of this role include:

  • Providing project and administrative support to the Commercial Directors within Australia as required (diary management, meeting coordination, booking domestic and international travel, expense management, and any other ad hoc tasks).
  • Arranging logistical aspects of Commercial Director-led or relevant Commercial meetings (diary coordination, agenda and material creation and coordination, minute taking, facility bookings, travel, and catering).
  • Supporting the coordination, compilation, review, and editing of Leadership Team papers, including external correspondence and materials.
  • Working with the Commercial Directors to ensure smooth coordination with the Chief Commercial Officer, including preparation, meetings, papers, and reviews required by CCO.

Required skills and qualifications for this role include:

  • Strong organisational and coordination skills with experience supporting executives within a corporate environment.
  • Strong interpersonal and communication skills (written and verbal) and the ability to communicate effectively at all levels of management within the organisation and with senior external stakeholders.
  • Highly organised with a high attention to detail and accuracy, superior judgement and decision-making.
  • Able to make administrative and procedural decisions and judgments on sensitive, confidential issues.
  • Must possess a high degree of discretion, a high level of professionalism, and a strong sense of urgency.
  • Able to prioritise and balance several tasks and work with deadlines with demonstrated ability to work on multiple projects at one time while maintaining a positive attitude.
  • A positive and collaborative mind-set.
  • Must be a team player and initiative to take ownership of tasks and see them through to completion.
  • Strong computer skills as well as high proficiency in GSuite (Docs, Sheets, Slides, and Mail) and Microsoft Office (Excel, PowerPoint, and Word).
