Job Description

We are seeking a skilled professional to join our team as an Administration Assistant.

The ideal candidate will be responsible for ensuring the smooth operation of our administrative functions, providing exceptional support to our clients and colleagues alike. As an Administration Assistant, you will play a critical role in maintaining accurate records, managing correspondence, and coordinating meetings and events.

This is a fantastic opportunity for someone who enjoys working in a fast-paced environment, is highly organized, and has excellent communication skills.

Responsibilities
  • Maintain accurate and up-to-date records and files, both physical and digital;
  • Manage and coordinate all aspects of correspondence, including emails, letters, and packages;
  • Prepare and distribute meeting minutes, agendas, and other materials as required;
  • Coordinate travel arrangements, including booking flights, hotels, and rental cars;
  • Ensure all administrative tasks are completed in a timely and efficient manner, with minimal supervision;
  • Communicate effectively with colleagues, management, and external stakeholders, both verbally and in writing;
  • Perform other related duties as assigned by management.
Requirements
  • Minimum 3-5 years' experience in a similar role within the insurance, financial industry or service-oriented industries;
  • Advanced data entry and numeracy skills;
  • Task-focused, with high attention to detail and time management skills;
  • Excellent verbal and written communication skills; ability to engage stakeholders at all levels;
  • Ability to work autonomously and within a team;
  • Ability to negotiate a 'win-win' solution while ensuring customer satisfaction and business profitability.
