Job Description

The Principal External Funds Coordinator plays a vital role in fostering partnerships with external entities and ensuring seamless communication.

We are seeking an experienced professional to provide coordination for all legal contracts with external clients, including:

  • Providing advice and direct assistance in contract preparation, negotiation, execution, and management, encompassing lease agreements, licenses to occupy, memoranda of understanding, contractor agreements, and field trial agreements.
  • Managing business relationships between the organization and external clients to ensure effective communication, identify and resolve issues, and minimize risks.
  • Collaborating with internal teams to obtain guidance on non-standard contract terms, externally developed contracts, complex financial arrangements, or potentially contentious issues.
  • Managing contract execution, distribution, and retention, ensuring complete and accurate information in the organization's contract management database.
  • Overseeing contract management processes, including monitoring service delivery, managing risks, communicating with internal and external clients, initiating contract variations, raising tax invoices, and completing contract closeout.
  • Providing advice, risk assessments, and quality assurance reviews to ensure compliance with relevant policies and procedures related to legal contracts and client communications.
  • Undertaking financial activities, including budgeting, forecasting, financial analysis, reporting, customer invoicing, debtor management, vendor payments, journal processing, and other ad-hoc requests.
  • Promoting the organization as a reputable research provider with external clients and collaborators.
Key Responsibilities
  • Contract Coordination: Provide expert advice and support in contract preparation, negotiation, execution, and management.
  • Business Relationship Management: Foster and maintain relationships between the organization and external clients to ensure effective communication and issue resolution.
  • Financial Activities: Perform tasks such as budgeting, forecasting, financial analysis, reporting, and customer invoicing.
  • Risk Management: Identify and mitigate potential risks associated with contract management and client communications.
