Job Description:

The Financial Transaction Coordinator plays a crucial role in ensuring the smooth operation of financial transactions. This position requires coordination of end-to-end financial functions, delivering high-quality, efficient, and accurate information and support to all internal and external stakeholders.

Main Responsibilities:

  • Accounts Payable Management:
    • Achieve accuracy in accounts payable data entry and verification.
    • Maintain new and existing creditor relationships, preventing duplications and closure of unused accounts.
    • Process aged purchase orders for closure every month in collaboration with relevant stakeholders.
    • Generate and manage weekly EFT payment runs.
    • Resubmit bounced/returned creditor payments with supporting documentation.
    • Analyze and resolve invoice-related issues.
    • Administer and reconcile purchasing cards on a monthly basis.
  • Month End/Year End Tasks:
    • Coordinate month-end and year-end closing, reporting, and communications of Accounts Payable within set timeframes.
    • Reconcile associated general ledgers and creditor statements each month.
    • Perform general journal internal cost allocations for large creditor payments.
  • Additional Duties:
    • Reconcile petty cash on a monthly basis across the business.
    • Support various requests from auditors and other stakeholders as required.
    • Assist with testing for all accounts payable-related system implementations and upgrades.
    • Identify and manage the implementation process for improvements and changes.
    • Develop and maintain operating procedures, including internal audit strategies, processing checklists, and guides.
    • Contribute to team goals and participate in team planning and goal setting.

Authority and Accountability:

  • Create and maintain records in line with CHW information management practices.
  • Accountable for the efficient and effective performance of all duties and key responsibility areas of the role.
  • Provide professional and positive service to customers on all finance and accounting-related matters.
  • Demonstrate CHW's values and behaviours at all times.
