We are seeking a skilled professional to join our team as an Administration Support Specialist. This role will be responsible for providing high-level administration support in the area of property asset administration.
The successful candidate will have at least 3 years' experience and knowledge in property management, along with a tertiary qualification in property or administration.
Key Responsibilities:- Compliance & Regulatory Management: Monitor compliance deadlines, track insurance, and ensure documentation accuracy.
- Administrative support: Assist in the preparation of capital and operational expenditure, and maintenance programs.
- Project budget record preparation and maintenance.
- Sourcing goods, equipment, and suppliers, and maintaining online information for use by the organisation.
- Assist in gathering information and formulation of specifications and requirements for purchasing of goods, equipment and services assets and property.
- Provide support to projects by procurement of equipment and furniture assets and property.
- Preparation of purchase orders and contracts, and preparation of recurring purchase orders.
- Administering the organisation's asset, procurement and purchasing, and contract information management systems including Urbanise.
- Excellent interpersonal, written, and verbal communication skills.
- A customer service focus in all interactions.
- Experience in using information management systems (Urbanise) and applying information for planning and reporting purposes.
- Transactional purchasing experience is preferred together with project budget records preparation and maintenance.
- High integrity and ethical standards.
- Proficient IT skills and strong time management.
