Administrative Assistant Job Overview

We are seeking an experienced and detail-oriented Administrative Assistant to join our team. As a key member of our administration department, you will provide exceptional support to patients, staff, and management by performing a variety of administrative tasks.

As an Administrative Assistant, you will be responsible for:

  • Providing reception services, including answering phone calls, greeting visitors, and handling correspondence.
  • Managing the office environment, ensuring it is clean, organized, and secure.
  • Handling billing and financial transactions, including preparing invoices and reconciliations.
  • Coordinating patient care, including arranging transport and maintaining patient records.

Key Responsibilities Include:

  • General Administration
    • Answer switchboard in a courteous and professional manner.
    • Liaise with patients and their families in a compassionate manner.
    • Perform general clerical and administrative tasks as required.
  • Billing Administration
    • Admit and discharge patients within a centralized billing system.
    • Prepare invoices and credit notes in relation to revenue generation.
  • Patient Service
    • Ensure cleanliness and neatness of patient treatment area, stockroom, and medical devices as per clinic procedure.
    • Assist with collection and distribution of basic food preparation and delivery of nutritional requirements to patients and visitors.

The ideal candidate will possess:

  • Effective communication and interpersonal skills, including ability to operate within a multidisciplinary team.
  • Knowledge of Work Health and Safety as it relates to the role within the facility.
  • Understanding of the Quality improvement process and risk management obligations.
  • Excellent Customer Service skills.
  • Ability to work with confidentiality, discretion, and maturity.
Required Skills and Qualifications
  • 2 years' experience in a similar role.
  • Knowledge of Infection Control / Hygiene principles and implementation of this knowledge into daily practice.
  • Office skills, including filing and answering telephone enquiries.
  • Computer competence in MS Office.
  • Completion of a Patient Service Assistant Certificate or equivalent qualification.
