We are seeking an experienced and detail-oriented Administrative Assistant to join our team. As a key member of our administration department, you will provide exceptional support to patients, staff, and management by performing a variety of administrative tasks.
As an Administrative Assistant, you will be responsible for:
- Providing reception services, including answering phone calls, greeting visitors, and handling correspondence.
- Managing the office environment, ensuring it is clean, organized, and secure.
- Handling billing and financial transactions, including preparing invoices and reconciliations.
- Coordinating patient care, including arranging transport and maintaining patient records.
Key Responsibilities Include:
- General Administration
- Answer switchboard in a courteous and professional manner.
- Liaise with patients and their families in a compassionate manner.
- Perform general clerical and administrative tasks as required.
- Billing Administration
- Admit and discharge patients within a centralized billing system.
- Prepare invoices and credit notes in relation to revenue generation.
- Patient Service
- Ensure cleanliness and neatness of patient treatment area, stockroom, and medical devices as per clinic procedure.
- Assist with collection and distribution of basic food preparation and delivery of nutritional requirements to patients and visitors.
The ideal candidate will possess:
- Effective communication and interpersonal skills, including ability to operate within a multidisciplinary team.
- Knowledge of Work Health and Safety as it relates to the role within the facility.
- Understanding of the Quality improvement process and risk management obligations.
- Excellent Customer Service skills.
- Ability to work with confidentiality, discretion, and maturity.
- 2 years' experience in a similar role.
- Knowledge of Infection Control / Hygiene principles and implementation of this knowledge into daily practice.
- Office skills, including filing and answering telephone enquiries.
- Computer competence in MS Office.
- Completion of a Patient Service Assistant Certificate or equivalent qualification.
