Secretariat Coordinator Job Description

We are seeking an experienced and highly organized Secretariat Coordinator to join our team. In this role, you will provide administrative support to the Secretariat team, ensuring the smooth delivery of secretariat services to key committees and stakeholders.

Responsibilities:
  1. Manage Secretariat Services: Provide day-to-day management of secretariat services, including travel, accommodation, and meeting logistics.
  2. Operational Arrangements: Contribute to operational arrangements, including financial management for committees and working groups.
  3. Administrative Support: Provide administrative support for ministerial and parliamentary processes.
  4. Work Practices: Improve work practices for correspondence, document management, data entry, and record maintenance.
  5. Stakeholder Management: Communicate with multiple stakeholders effectively.
  6. Committee Meeting Calendar: Manage the committee meeting calendar for operational efficiency.
  7. Project Progress: Monitor project progress and contribute to project planning.
  8. Policy Development: Develop and implement secretariat policies and procedures.

Candidate Requirements:

  • High-Level Administrative Expertise: High-level administrative expertise in a complex, fast-paced environment.
  • Strategic Thinking: Strategic thinking abilities.
  • Stakeholder Management: Strong stakeholder management, liaison, and negotiation skills.
  • Communication Skills: Excellent written and verbal communication skills.
  • Initiative: Ability to use initiative in planning and delivering projects.
  • Time Management: Excellent time management and attention to detail.
  • Cultural Competence: Experience managing contracts and liaising with diverse cultural backgrounds.
Desirable Qualifications:
  • Secretariat Experience: Experience in secretariat services.
  • Business Management: Qualifications in Business Management, Office Management, Public Administration, or related fields.
