The Job Description

This role involves supporting the smooth day-to-day operations of our Sydney office, ensuring the workplace is well-maintained and providing office support. The ideal candidate will have at least 2 years of experience in office administration or facilities coordination.

Your Key Responsibilities

  • Ensure the office space, including meeting rooms and reception, is clean, organized, and well-maintained.
  • Act as the main point of contact for building management, security, mailroom, cleaners, and maintenance personnel.
  • Coordinate office maintenance and repairs, ensuring all equipment and appliances are in working order.
  • Manage mail, deliveries, and courier services, ensuring timely receipt and dispatch.
  • Oversee office and kitchen supply inventory, placing orders as needed.
  • Maintain and coordinate meeting room bookings, adjusting schedules when required.
  • Issue and track office access cards, ensuring security protocols are followed.
  • Assist with new hire onboarding, preparing welcome packs, issuing business cards, and setting up workstations.
  • Support office events and employee engagement activities, such as team-building events, training sessions, and catering arrangements.
  • Maintain health and safety records, ensuring compliance with relevant training.

Requirements

  • 2+ years of experience in office administration, facilities coordination, or a similar role.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent communication and interpersonal skills to liaise with internal and external stakeholders.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and general tech-savviness.
  • A proactive and solution-oriented mindset, with the ability to work independently and as part of a team.
