Key Responsibilities
  • Administrative Support
    • Attend leadership team meetings and record minutes for distribution
    • Maintain action lists and follow up as required
    • Document management, including maintaining SharePoint folders and files
    • Contracts and supplier record management
    • Administrative support to the GM Marketing & Fundraising, including calendar management
    • Admin support to prepare executive and board papers as required
  • Functional Support
    • On-boarding and induction of new team members
    • Coordination of team engagement activities, events, meetings, and off-sites
    • Organising and supporting team training, including maintaining records
    • Accounts payable (processing invoices and credit card reconciliation, etc.)
    • Accounts receivables and other billing (managing internal and external billing requests)
    • Asset management – keeping track of all equipment ordering and disposal
    • Office management – keeping the floor area tidy and stock organised
    • Managing supporter records and CRM updates
  • Requirements
    • 4 years minimum experience in an administrative management role
    • Report writing skills and ability to summarise key issues
    • Proven experience in typing letters, reports, minutes, agendas
    • Experience in budgeting and processing invoices
    • Experience in the collation of reports and statistical information
    • Effective written and oral skills, public speaking, and presentation capabilities
    • Tech savvy with strong Microsoft Office experience
    • Ability to work unsupervised as well as an effective team player with a positive can-do attitude
    • Proven record of building strong, effective, and consultative working relationships with key internal and external stakeholders
    • Track record of managing specific projects and prioritising workload, working efficiently, and managing simultaneous activities
    • An appreciation of the challenges involved in managing a diverse workforce within a not-for-profit environment
    • PowerPoint/Canva/InDesign experience with a creative eye is desirable
