
Senior Regulatory Affairs Specialist

The successful candidate will be responsible for ensuring the overall compliance of the RTO operations. As a seasoned expert in regulatory affairs, this role plays a pivotal part in supporting the CEO with delegated compliance duties and projects.
Key Responsibilities:- Contribute to the strategic direction of the organization by ensuring quality standards and controls are maintained across RTO functions.
- Support the achievement of financial stability through effective management of budgetary limits and cost savings initiatives.
- Identify and capitalize on opportunities critical to operational excellence.
- Develop and maintain strong State Government compliance knowledge and manage contractual obligations related to regulatory standards.
- Model resilience, adaptability to change, and provide support to colleagues in aligning with the strategic direction.
Minimum 3 years of experience in a Private RTO environment.
Strong understanding of VET standards, guidelines, and legislation.
Exposure to internal and external audits.
Understanding of RTO Standards and State Funding Contracts (VIC, NSW, QLD & SA).
Proficient in MS Office and ability to present information in various formats.
Highly developed skills in managing multiple tasks, competing priorities, and meeting deadlines.
Understanding of VET training packages and units of competency.
Exposure to validation processes.
Student Management Systems (VETrak Cloud).
Accountabilities and Contribution:- Operations & Team Management.
- Develop best practices and tools for compliance management tasks.
- Manage and distribute government notifications to relevant staff.
- Support day-to-day operations of the quality and compliance department, including labour balancing processing of training evidence.
- Ensure data teams meet processing KPI's.
- Manage continuous improvement register.
- Coordinate assessment validation (as required).
- Ensure all staff adhere to compliance policies and procedures.
- Oversee coordination, supervision, and performance management of Quality and Compliance direct staff.
- Provide direction, leadership, and support across the business regarding quality and compliance functions.
- RTO Compliance.
- Oversee quality data related to delivery of training and assessment.
- Report RTO compliance updates during management and staff meetings.
- Ensure compliance with quality procedures and systems are adhered to with a view to continuous improvement.
- Assess student eligibility in line with state government funding guidelines.
- Liaise with the Chief Executive to ensure regulatory compliance requirements are met.
- Report RTO key metrics to the Chief Executive Officer.
- Ensure participant files comply with ASQA requirements and state funding contracts.
- Ensure training and assessment materials and strategies comply with regulatory bodies before public release.
- Provide counsel for development of high-quality compliant training and assessment resources.
- Monitor implementation of processes and standards to ensure compliance with ASQA standards and state government funding contracts.
- Monitor business functions to meet changes to RTO compliance and legislative requirements.
- Participate and manage external ASQA or other regulatory audit activities.
- Manage Compliance Systems.
- Configure VETtrak to ensure functional and accurate student management system.
- Monitor recording of student results within VETtrak and identify areas for improvement.
- Develop effective procedures to ensure administrative reporting requirements can be generated with relevant data, including funding requirements and statistical/completion reports.
- Ensure all users are trained and developed to use VETtrak to its fullest capabilities.
- Support Head of Quality and Compliance in ensuring claims for funding are accurate, compliant, and within reasonable timeframes.
- Oversee Vative's Learning Management System (LMS) - aNewSpring, ensuring integration with regulatory standards and government funding claims.
