Administrative Assistant

We are seeking an experienced Accounts Administrator to join our team. As an Accounts Administrator, you will be responsible for providing administrative support to our finance team.
Key Responsibilities:
- Reception and Customer Service duties, including answering phones, greeting clients, and managing arrivals and departures.
- General administrative duties, such as managing office supplies, scheduling meetings, and maintaining filing systems.
- Purchasing process, including identifying needs, sourcing suppliers, and negotiating contracts.
- Preparing internal and external job folders for the workshop, notifying customers or branches when the order is ready for dispatch.
- Processing purchase orders, tracking order status, and ensuring timely delivery of goods and services.
- Entering purchase orders, invoices, and other related data into MYOB and the accounting system.
- Preparing month-end purchases, reconciliation, and liaising with AP.
- Liaising with the logistics officer for preparing delivery dockets.
- Preparing payroll timesheets.
- Assisting AR with cash sales and petty cash management.
- Supporting others with general administrative duties, such as responding to queries, forwarding communications to the relevant areas, filing, scanning, data entry, and electronic document management.
- Maintaining accurate records of all communication with clients.
- Liaising with customers, managers, and staff for job specifics as required.
Requirements:
- Previous experience as an Accounts Administrator or Purchase Officer.
- Experience with MYOB software.
- Strong problem-solving skills.
- Proficient typing skills and the ability to pick up different software systems quickly.
- Reliable and dedicated.
- A people person who loves interacting with and helping others.
