Business Operations Specialist

About the Role:
We are seeking a highly organized and proactive Business Support Manager and Support Coordinator to join our Operations Team at the Victor Chang Cardiac Research Institute. As a key member of our team, you will play a vital role in ensuring the smooth operation of our facilities and providing exceptional support to our staff and stakeholders.
Key Responsibilities:
- Oversee office moves and space planning initiatives to optimize our work environment.
- Manage end-to-end postal services and oversee stationery supplies to maintain a well-stocked and efficient office.
- Plan and coordinate events, conferences, and meetings, including AV and IT setup to ensure seamless execution.
- Maintain signage and keep storage areas organized and safe to promote a clean and healthy work environment.
- Assist with compliance record keeping and manage filing systems to ensure accurate and up-to-date records.
- Oversee operations contact directory and building access systems to ensure secure and efficient access.
- Support the Operations team and Scientific Services as needed to provide comprehensive support.
- Manage budget monitoring and cost control to ensure effective financial management.
- Act as a key liaison with internal and external stakeholders to build strong relationships and promote effective communication.
Requirements:
- 3-5 years of experience in a Business Support, Facilities Coordinator, or Maintenance Coordinator role.
- Office Systems Management: Ability to enhance efficiency through effective office systems.
- Technical Skills: Proficiency in Microsoft Office and familiarity with DOS and Windows software.
- Communication Skills: Excellent verbal and written skills, with a knack for building relationships.
- Financial Acumen: Strong understanding of budget monitoring and cost control (for Business Support Manager).
- High-Pressure Adaptability: Ability to thrive in a fast-paced environment.
