Practice Manager Veterinary Hospital

The Practice Manager will play a pivotal role in administering, coordinating, and delivering all operational aspects of this busy hospital facility and mobile hospital service. This role reports to the directors and is crucial to the smooth and professional operation of Melbourne Animal Referral Services (MARS), as well as the Yarraville mobile depot.
Key Responsibilities- Lead the Clinic Team in partnership with Directors, Lead Vets, and Head Nurses by fostering a positive culture of accountability, empathy, and openness.
- Actively manage all MARS stakeholders, including organizing and attending meetings.
- Coordinate all hospital inventory, equipment, and repairs.
- Manage all aspects of mobile fleet headquartered in Yarraville.
- Reconcile end-of-day income/cash receipts.
- Interpret and administer relevant Award, reconcile timekeeping requirements, and perform payroll duties fortnightly.
- Assist with all veterinary staffing requirements, including rosters, recruitment, onboarding, and inductions.
- Proactively manage clinical scheduling using EzyVet.
- Support directors with balanced decision-making, considering both clinical and commercial outcomes.
- Create and maintain the implementation of standards of care in the delivery of veterinary and nursing, medical, and surgical services for patients.
- Ensure all aspects of compliance across human resources and safety for all employees and contractors.
- Drive a customer-focused culture and demonstrate the highest level of customer service.
- Effectively communicate and consult with clients, vets, and team members on all enquiries, including complaints, grief support, payments, reminders, and procedure follow-ups.
- Oversee new projects as required by directors.
- Proven track record of success, leading and working in a veterinary practice.
- Management and/or veterinary qualifications and excellent computer literacy.
- Finance, payroll, and human resources expertise to mentor, lead the team, and support directors.
- Compliance expertise to maintain all statutory regulations and obligations.
- Exceptional time management, efficiency, flexibility, and organizational skills to work in a dynamic environment.
- Working knowledge of EzyVet and Xero.
- Ability to be flexible to be based across various locations from Yarraville depot to Tooronga hospital and work from home.
