The Role

We are seeking a skilled Project Coordinator to support our Civil team in Perth with the execution of multiple projects. The ideal candidate will be a proactive problem solver who thrives in a dynamic environment. In this diverse role, you will mentor and guide the project team to meet deadlines and ensure that all projects are completed to the highest standards, adhering to compliance protocols and processes. This is a full-time permanent position based in our Perth CBD office.

Your Responsibilities:

  • Assist in the preparation of tenders, bids, and proposals for clients, including identifying response requirements, completing associated schedules, coordinating input from relevant disciplines, compiling and customizing CVs, and sourcing pertinent project examples.
  • Proofread and format project documentation, including submissions, reports, letters, and other company materials.
  • Support the consolidation and upload of submission documents through various tender portals.
  • Maintain the database for tender portals and ensure that all subscriptions are up to date.
  • Manage project documentation using QDMS, Teambinder, Aconex, and other software.
  • Oversee project compliance management throughout the project lifecycle from initiation to completion and closeout.
  • Coordinate and execute project management activities, including:
    • Risk Management – assisting Project Managers in utilizing the Risk Management System and following up on outstanding approvals and action items.
    • Start-up meetings – scheduling meetings with key stakeholders, preparing meeting documents, and closing out action items.
    • Project Management Plans – establishing and maintaining adherence to frameworks and procedures.
    • Preparation of subconsultant appointment letters and purchase orders.
    • Assist with project auditing.
    • Coordinate, attend, and prepare documentation for Civil Group team meetings.
    • Support Project Managers with various tasks such as meeting scheduling, agenda preparation, minute-taking, time reporting, and other administrative duties.
    • Assist with other operational duties across different disciplines as required.

About You:

  • 3-5 years of demonstrated experience as a project coordinator or in a similar role within a professional services environment, preferably in engineering consultancy or contracting.
  • Proficient in Microsoft Office Suite.
  • Ability to deliver high-quality work with precision under minimal supervision and work autonomously within a team to meet deadlines.
  • Strong interpersonal, oral, and written communication skills, with the ability to engage and collaborate with various project areas.
  • Enjoy working collaboratively with stakeholders and possess the ability to build rapport quickly.
  • Self-motivated with a high level of efficiency, exceptional attention to detail, and excellent time management skills to handle varying workloads.
  • Willingness to learn and adapt to new work practices, systems, and procedures.
