
Senior Management Team Support Specialist

Key Responsibilities Include:
- Providing high-level administrative support to senior management team members involves preparing reports, gathering and handling information requests, performing clerical functions such as preparing correspondences, receiving visitors, arranging conference calls, and scheduling meetings, note taking, record keeping.
- The first point of contact for busy SMT members requires following up action items with the SMT and providing feedback internally and externally.
Main Objectives:
- Direct assistance to CEOs and senior management team leaders
- Managing schedules and assisting with travel arrangements for senior executives
- Scheduling and distributing incoming and outgoing correspondences for CEOs and SMT leaders
- Coordinating logistics for board meetings and providing travel assistance for directors when required
- Preparing key documents for board signatures, including grant agreements and contracts
- Reading and analyzing incoming proposals, motions, and reports to determine their significance and plan distribution and follow-up schedules
- Supporting corporate teams and working directly with corporate services officers
Qualifications and Attributes:
- Excellent communication skills with diverse groups, including community, government, and organizations
- Proficiency in electronic office equipment and software, as well as general knowledge of computer hardware and software
- Demonstrated experience in administrative procedures and systems, time management, and organizational skills
- Broad knowledge of business and management principles involved in strategic planning, resource allocation, human resources function, and coordination of people and resources
Essential Qualifications and Attributes:
- Experience working in a healthcare organization
- Qualifications in administration and minute-taking
Desirable Qualifications and Attributes:
- Experience working in an Aboriginal-controlled health organization
- Additional qualifications or certifications in administration and minute-taking
