
Administrative Support Specialist

We are seeking a highly organized and detail-oriented Administration Officer to provide administrative support to our management team. This role involves answering phone calls, managing files, and scheduling care worker workloads.
The ideal candidate will possess intermediate Microsoft Office skills, effective communication skills, and the ability to work in a fast-paced environment. Previous experience using a client information management system and strong time management and organizational skills are highly desirable.
Key Responsibilities:
- Answer all incoming and outgoing calls and direct them to the relevant person.
- Provide day-to-day administration of the office.
- Assist the management team with filing and administration tasks.
- Schedule, plan, and organize care worker workloads to meet both customer and business needs.
- Maintain consistency of service to customers in terms of service time and care worker.
- Roster day-to-day urgent situations as they arise in a timely manner.
- Resolve issues and problem-solve in a fast-paced environment to meet client/business needs.
- Work within deadlines.
- Be part of the on-call team roster to receive sick call.
Requirements:
- Intermediate Microsoft Office skills.
- Effective communication skills and telephone etiquette.
- Able to develop/implement and evaluate organisational and client-focused documentation and systems.
- Able to create and promote a positive and supportive culture where all staff are valued.
- Able to problem-solve, work within deadlines, and think outside the box.
Preferred Skills:
- Experience using a client information management system, highly desirable Visual Care.
- Systems orientated.
- Previous experience scheduling/matching care workers to clients within their home.
