Job Title: Event Experience Coordinator

The Role: You will be responsible for coordinating the behind-the-scenes operations of live events, ensuring that everything runs smoothly and on schedule. This includes rostering and scheduling crew members, managing payroll and leave, and handling compliance and training.

Key Responsibilities:

  • Rostering and Scheduling: Coordinate shifts for both permanent and freelance crew based on project requirements.
  • Payroll and Leave: Manage time sheets, TOIL, and staff leave in collaboration with the Operations Manager.
  • Compliance and Training: Keep licenses and certifications current, book training, and maintain a focus on safety and standards.
  • Travel and Freight: Book crew travel, manage vehicle and freight logistics, and stay on top of event requirements and budgets.
  • Onboarding and Admin: Support onboarding and inductions, raise purchase orders, and handle reporting and admin with precision.
  • Out-of-Hours Coordination: Be available to work early starts, late finishes, and occasional weekends as required.

What We're Looking For:

  • Experience in rostering, workforce coordination, logistics, or event operations.
  • Ability to build strong relationships with internal and external stakeholders.
  • Confidence using scheduling and workforce management tools.
  • Excellent communication and problem-solving skills.
  • A calm and level-headed approach to high-pressure situations.
