About the Role

SJ Personnel is seeking a highly organized and detail-oriented Administrative Support Professional to join our client's team in Geelong. As a key member of the team, you will be responsible for providing administrative support to ensure the smooth operation of daily office tasks.

Key Responsibilities
  • Administrative Support: Manage correspondence, schedule meetings, and maintain office supplies to ensure a well-organized and efficient work environment.
  • Reception Duties: Greet visitors and manage incoming calls, providing a professional first point of contact for customers and clients.
  • Internal Audits: Coordinate and oversee internal audits to ensure compliance with company policies and regulatory requirements.
  • Liaison with Sales Team: Collaborate with the Sales team to produce certificates and reports for completed work.
  • Accounts Receivable: Work with the finance team to handle invoicing and follow up on outstanding debtors.
  • Purchase Orders & Accounts Payable: Create purchase orders for material orders, enter bills, and maintain the cashflow forecast.
  • External Stakeholder Management: Serve as a point of contact for external stakeholders, ensuring clear and effective communication.
  • Meeting Coordination: Schedule and coordinate internal meetings, including toolbox meetings, take minutes, and circulate action items.
Requirements
  • Previous experience in an administrative role, ideally within a similar industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and priorities efficiently.
  • Proficiency in Microsoft Office Suite and other relevant software.
