Warehouse Operations Manager

Our organization is seeking a highly skilled and experienced Warehouse Operations Manager to join our team. In this role, you will be responsible for overseeing the day-to-day operations of our warehouse, ensuring that all activities are carried out in a safe and efficient manner.

Key Responsibilities:
  • Inbound Responsibilities:
    • Monitor open orders and projected shipments from Paris and communicate forecast vs actual variations to the 3PL provider.
    • Monitor Bollore Status report for shipments to identify delays that cause forecast vs actual variations.
    • Liaise with vendors (Bollore, Geodis, CEVA) to receive accurate and timely information on shipments and receiving.
    • Create inbound priority lists for the 3PL provider based on out-of-stock analysis and product launches.
    • Train and support the 3PL team to receive by BP number as well as VAS for damaged packaging.
    • Monitor delivery litigation from Paris and stores that also includes custom compliance requirements.
    • Monitor batch information for dept V during receiving. Also create data and information for the claim process (item, quantity, 3PL activity cost etc.).
    • Monitor progress of the receiving on a regular basis. Reinforce the priority to the 3PL provider if unexplained delays are identified.
    • Work with stores on delivery and carton optimization.
    • Manage consolidation of return deliveries and cartons with stores to minimize delivery cost.
    • In case of any DTR system integration errors, work closely with IT and the 3PL provider to resolve the issues without any impact to the business.
    • Monitor and track all the national furniture returns including empty crates.
    • Responsible for inbound stock receiving communication to key business stakeholders.
    • Monitor HCOM returns are received inside agreed SLA.
    • Monitor DC returns and lost in transit.
  • Outbound Responsibilities:
    • Monitor DTR integration between Cegid and WMS.
    • Manage urgent DTR requests with the 3PL provider coming from Merch and store teams.
    • Communicate priorities to the 3PL provider in case of DTR quantities are larger than forecast.
    • Work closely with the 3PL provider, stores, and Merch teams to bring consistency on the number of boxes delivered.
    • Monitor DTRs placed without stock, then take necessary steps (training, communication) to reduce DTRs with no stock.
    • Monitor short shipped DTRs and resolve the discrepancy/movement within agreed KPI.
    • Monitor progress of DTR pick packing regularly, then reinforce the priority of schedule to the 3PL provider if unexplained delays are identified.
    • Monitor progress of DTRs between warehouse stockrooms including HCOM.
    • In case of any system integration errors, work closely with IT and the 3PL provider to resolve the issues without any impact to the business.
    • Monitor overall DC export process including SAV according to SOP.
    • Monitor white gloves furniture delivery process to clients and stores.
    • Monitor HCOM orders are dispatched according to agreed SLA, reinforce the priority to the 3PL provider if unexplained delays are identified.
  • Inventory Management Responsibilities:
    • Monitor DC cycle count schedules and follow up with the 3PL provider according to agreement/communication.
    • Regularly monitor high-value products and plan storage according to group guidelines.
    • Publish monthly expiry/shelf-life reports to Hermes business stakeholders.
    • Manage inventory movements (O13, O15, O16 etc.) communication of expired batches with Merch Teams.
    • Publish monthly inter-warehouse templates to move expired stock out of O00 and O70 locations.
    • Occasionally match batches with physical inventory to check DC accuracy on capturing batches.
    • Monthly validate first expiry first out for department V.
    • Monitor furniture empty crate inventory holding and assortment according to business needs.
    • Work collaboratively with inventory teams and the 3PL provider to prepare for annual stock takes which includes but not limited to housekeeping, system testing etc.
    • Monitor and action requested variance issues from discrepancy reports with the 3PL provider, Inventory teams, and Hcom teams.
    • Analysis of current stock holdings by department and compare against forecast. Address any significant overstock situations to the business and seek solutions which will help avoid extra charges from the 3PL provider.
    • Monitor stock on LOST locations. Litigation to be finalized within agreed SLAs.
    • Monitor overall exceptional and staff sales inventory management.
  • Warehouse Management Responsibilities:
    • Work closely with the 3PL provider to maintain a clean, safe, and good working environment at the DC.
    • Alert the 3PL provider so that stock and all other stored items must be handled with care and maintained in suitable locations, be boxed or packaged to minimize any damage to the product.
    • Collaborate with the 3PL provider to physically segregate stock that belongs to separate physical locations.
    • Maintain housekeeping logs to keep records of points discussed and agreed with the 3PL provider.
    • Maintain logs to keep all store feedback as a repository.
    • Assist in auditing of safety and security measures of the 3PL provider and transport.
    • Validate and approve KPI results published by the 3PL provider. Also assist in sharing the results to the business.
    • Monitor and analyze warehouse capacity optimization processes with the 3PL provider by identifying inefficiencies and implementing strategies to maximize storage space and streamline operations.
    • Implement and monitor group supply chain core models with the 3PL provider.
  • Projects, Process Improvement, and Change Management Responsibilities:
    • Take ownership of the 3PL issue log to regularly follow up on outstanding issues and improvements.
    • Create and document 3PL VAS strategies and processes.
    • Create and document 3PL QC processes according to group guidelines.
  • General Responsibilities:
    • Assist Senior logistics managers to accurately validate/approve 3PL and freight invoices.
    • Act as a central point of contact for any issues related to logistics/3PL to provide solutions to Hermes business teams.
    • Manage weekly team meetings in the absence of Senior logistics managers.
  • Strategic Support with Senior Logistics Managers:
    • Review contracts of all logistics vendors.
    • Transport optimization and tracking.
    • Negotiation with service providers for cost monitoring.
    • 3PL budget monitoring based on RFP forecasts and actuals. Then publish reports.
    • Implement CSR initiatives with all logistics transport companies.
    • Monitor and validate 3PL CSR initiatives according to contracts.
    • Align 3PL SOPs with group guidelines for return to CDC.
    • Align 3PL safety training according to group guidelines.
    • Ensure clear communication and awareness among Hermes employees regarding the deployment of CSR policies.
    • DC compliances according to group guidelines. For example: Dangerous goods.
  • Personal Attributes:
    • Clear and effective communication and negotiation skills.
    • Highly analytical.
    • Previous experience of international freight and custom regulations will be an advantage but not essential.
    • Collaborative and customer-focused.
    • Agile (conflicting priorities).
    • Strong internal and external stakeholder management.
    • Forward planner and strategic thinking.
    • Ability to work with minimal supervision.
    • Previous experience on logistics applications like WMS, ERP etc.
    • Previous experience of verifying, processing, and managing invoices related to logistics operations.
    • Previous experience on compliance management with group guidelines, safety regulations, and industry standards.
