The West Daly Regional Council is a local government authority responsible for providing services to a rural region in northern Australia. Our area of operation covers 14,000 square kilometres and is home to three Indigenous communities.

Job Summary

This is a high-level administrative support role that will provide assistance to the Chief Operations Officer and Infrastructure and Civil Works Manager. The successful candidate will be responsible for supervising and developing administrative staff, as well as providing a range of secretariat and administrative services.

Key Responsibilities
  1. Administrative Support: Provide high-level administrative and secretarial support to the Chief Operations Officer and Infrastructure and Civil Works Manager.
  2. Secretariat Services: Coordinate committee meetings, prepare papers, and provide a range of secretariat and administrative services to support management delivery.
  3. Information Management: Collect and compile information, prepare documentation and correspondence, and maintain accurate records and databases.
  4. Financial Transactions: Complete routine financial transactions and purchasing services, ensuring compliance with agency standards and procedures.
  5. Record Keeping: Update and maintain records and databases, ensuring that all information is accurate, stored correctly, and accessible.
  6. Legislative Compliance: Maintain knowledge of current relevant legislation, policies, procedures, and guidelines to ensure compliance with regulatory requirements.
  7. Business Support: Deliver multiple business support activities and services in line with agreed standards, timeframes, and milestones.
  8. Supervision and Training: Provide supervision, mentoring, training, and coaching for Administrative Officers and other team members in the Operations Directorate.
  9. Fleet Management: Manage the asset register, purchasing, tracking, registrations, servicing, support, auction, and livery of Council vehicles.
  10. Website and Social Media: Update the website and social media accounts in collaboration with the Administration Officer.
  11. Reporting: Provide reports to various business leads on necessary actions and key focus areas.
  12. Analysis and Research: Analyse data to prepare reports and measure KPI metrics to improve efficiency and provide support within the Operations Division.
  13. Project Management: Undertake small to medium projects and research tasks as required.
  14. Stakeholder Relationships: Maintain effective stakeholder relationships and escalate non-compliance of key performance indicators to the Chief Operations Officer for resolution.
Requirements
  1. Certificate IV or Diploma in Business Administration: A Certificate IV or Diploma in Business Administration and/or equivalent work-related experience is required.
  2. Office Administration: High-level knowledge and experience in office administration, including the ability to conduct research and draft high-level letter submissions, reports, and email correspondence.
  3. Microsoft Office Suite: Advanced skills in the use of the Microsoft Office Suite of Products, in particular Outlook, Word, and Excel, with the ability to quickly learn new systems as required.
  4. Financial Knowledge: Understanding of financial practices with relevant working experience using Corporate Financial Systems.
  5. Criminal History Check: A current National Criminal History Check is required.
  6. Working with Children Card: A current Working with Children (OCHRE) Card is required.
  7. Travel: Ability to travel to remote communities as required on light aircraft or by 4WD, which may include overnight stays.

  1. Generous Salary: A generous base salary of $82,607.91 to $88,020.25 per annum based on experience and qualifications.
