We're looking for a skilled Purchasing Officer to join our team and support the pre-opening setup of a new hotel. The ideal candidate will oversee the procurement and materials operations across all departments, ensuring all goods and services are efficiently sourced, received, and distributed.

This role is perfect for individuals who enjoy working in a fast-paced environment, handling multiple priorities and projects simultaneously. You'll have the opportunity to positively build and sustain relationships with internal and external stakeholders, manage distribution of received goods, and maintain storerooms and receiving areas in a clean, organised manner.

About the Role

As a key member of our team, you'll play a vital role in laying the groundwork for our purchasing and stock control systems before the first guest even walks through the door. Your solid experience in procurement or purchasing, combined with your organisational skills and ability to work collaboratively with other teams, will be invaluable assets in this position.

Key Responsibilities

  • Support the pre-opening setup by assisting in sourcing suppliers, preparing purchase orders, coordinating deliveries, cataloguing inventory, and supporting stock reconciliation.
  • Liaise with department heads to fulfill procurement needs in a timely and cost-effective manner.
  • Assist with the day-to-day purchasing of goods and services in accordance with approved requests, specifications, budgets, and brand standards.
  • Process and enter purchase orders, invoices, goods received, and other documentation accurately in relevant systems.
  • Coordinate with suppliers to resolve order discrepancies and arrange substitutes for out-of-stock items.
  • Oversee the accurate receipt and inspection of goods, ensuring quantity, quality, and compliance with specifications.
  • Manage distribution of received goods to appropriate departments promptly and correctly.
  • Maintain storerooms and receiving areas in a clean, organised, and compliant manner to meet food safety and WH&S standards.
  • Assist with monthly and ad-hoc stocktakes, including counting, reconciliation, variance investigation, and report generation.
