Accounting Operations Senior Coordinator Job Description

The primary responsibility of this role is to oversee the processing and management of payments received from customers, ensuring timely and accurate accounting support in all aspects of Accounts Receivable (AR) matters.

Key Responsibilities:
  • Monitor customer accounts for non-payments, delayed payments, and other irregularities.
  • Foster strong relationships with customers to resolve overdue debt and ensure seamless payment processes.
  • Enter and reconcile EFT payments into Oracle on a daily basis, guaranteeing accuracy and timeliness.
  • Investigate unallocated payments and allocate them to the correct customer account, minimizing discrepancies.
  • Create Credit Notes for customer cylinder deposit claims, maintaining transparency and fairness.
  • Address customer queries promptly, providing clear explanations and resolutions.
  • Distribute monthly customer statements electronically via email, keeping customers informed.
  • Provide monthly invoicing information to customers who require it, ensuring clarity and understanding.
  • Clear orders that go on Hold in Oracle daily, preventing delays and disruptions.
  • Place customer orders on hold when their accounts are overdue, releasing them after customer payments.
  • Process customer term rebates, scan rebates, and coop accruals in a timely manner, maximizing efficiency.
  • Develop cross-functional skills within the Finance Department to provide cover for staff during annual or emergency leave.
  • Perform other tasks as required by HQ or management needs.
Required Skills and Qualifications:
  • Strong knowledge of Accounts Receivable, including collections, customer receipt matching, and Credit Notes creation.
  • Exceptional attention to detail, ensuring accuracy in all financial transactions.
  • Previous experience in using major ERP systems, with Oracle expertise highly desirable.
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
