Job Title

We are seeking a skilled Production and Project Coordinator to oversee daily administrative tasks and project development from initiation to completion.

The successful candidate will be responsible for creating and managing production schedules, coordinating project timelines, and ensuring timely delivery of high-quality projects. They will work closely with internal teams and external consultants and contractors to manage resources, deliverables, and timelines while maintaining safety standards and key objectives.

Key Responsibilities:

  • Track workload, deadlines, and task prioritization across internal departments to ensure timely completion and identify bottlenecks for effective workload balancing.
  • Coordinate with designers, engineers, and contractors to create project timelines that align with production capabilities.
  • Assist internal departments (e.g., HR, Sales, Finance, Marketing, Operations) with administrative tasks and provide timely support where needed.
  • Maintain accurate project and production documentation, including status reports, resource allocations, schedules, OH&S, and site-specific details.
  • Analyse production and project data to identify trends, process improvements, and opportunities to enhance productivity and efficiency.
  • Communicate proactively with internal teams and external stakeholders regarding project milestones, potential risks, and changes to schedules.
  • Handle ad-hoc administrative tasks or projects assigned by senior management.

Required Qualifications:

- Tertiary education preferred
- Proven experience (typically 3+ years) in production planning, project management
- Strong understanding of production processes, scheduling systems, and project management techniques.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), AutoCAD, CRMs & Gantt Charts.
- Excellent organisational and multitasking skills, with attention to detail.
- Familiarity with ERP/Workflow Management systems
- Strong communication skills, both written and verbal.
- Ability to collaborate with cross-functional teams and manage competing priorities.
