
Timetabling Operations Specialist

A Timetabling Support Officer plays a pivotal role in ensuring the seamless operation of academic delivery and space utilisation.
Key Responsibilities
- Managing System Changes: Implement new system updates to enhance timetabling efficiency.
- Internal Room Booking: Coordinate internal room bookings, documenting all changes accurately.
- External Room Booking: Arrange external room bookings and space hiring for optimal resource allocation.
- Documenting Change Requests: Record and track change requests from stakeholders.
- Monitoring Class Capacities: Utilise reporting tools to monitor class capacities and identify trends.
- Progression Mapping: Develop progression maps for Ikon and ALG students.
- Pre-Allocations and In-System Allocations: Effectively manage student pre-allocations and in-system allocations.
- Balancing Classes: Ensure classes are evenly distributed across campuses.
- Cleaning Report Data: Maintain accurate and up-to-date report data.
- Enrolling Students: Assist with enrolling students into relevant courses.
- Managing Spreadsheets: Oversee and update various spreadsheets related to timetabling.
- Zendesk Ticket Responses: Provide timely responses to Zendesk tickets from staff and students.
Education, Experience & Skills
- Relevant Qualifications: Hold a qualification in a relevant field.
- Previous Experience: Possess prior experience in the education sector, preferably in timetabling or scheduling roles.
- Excel Skills: Demonstrate intermediate to advanced Excel skills.
- Regulatory Frameworks: Show understanding of regulatory frameworks, including Higher Education Standards Framework (Threshold Standards) 2021, Standards for RTO's 2015, and National Code of Practice for Providers of Education and Training to Overseas Students 2018.
- Microsoft Office365 Proficiency: Possess proficiency in Microsoft Office365.
- Cross-Cultural Awareness: Display cross-cultural awareness and sensitivity.
- Excellent Communication: Exhibit excellent written and oral communication skills.
- Interpersonal Skills: Demonstrate strong interpersonal skills, with the ability to work autonomously and collaboratively as part of a team.
