Overview

We’re looking for a highly organised and proactive Project Coordinator to join our growing team. If you have a knack for keeping projects on track, love ticking off tasks, and enjoy supporting a busy team, this could be the role for you.

You’ll work closely with our General Managers and Program Managers, helping to keep multiple projects running smoothly across our Consulting Business. Some projects will be large-scale and complex; others will be smaller engagements where you’ll take the lead on coordination.

Your days will be varied, from managing project schedules and resource bookings to preparing reports, drafting proposals, and assisting with invoicing. You’ll be the go-to person for ensuring the right information is in the right place, at the right time.

Key Responsibilities

- Support our team of General Managers with project coordination, resourcing and operational items
- Support Program Managers with planning, tracking, and reporting on project progress
- Coordinate smaller engagements independently, ensuring deliverables are met on time and within scope
- Maintain project schedules, update timelines, and track dependencies
- Coordinate resources across multiple projects
- Prepare regular project status reports for stakeholders
- Assist in drafting proposals, quotes, and Statements of Work
- Support project budgeting, invoicing, and financial tracking
- Maintain accurate project documentation and version control
- Ensure compliance with internal processes and project governance requirements

What will make you successful in this role?

- Minimum 2 years’ experience in IT and/or ERP software project coordination
- Experience supporting senior project/program managers or independently managing small projects
- Solid understanding of project schedules, resourcing, and reporting
- Strong administrative skills and attention to detail
- Experience with proposals, quotes, or Statements of Work (desirable)
- Invoicing and end of month experience (highly desirable)
- An interest in financials, data, and reporting
- Excellent communication skills – able to liaise confidently with stakeholders at all levels
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and ideally project management tools (e.g. MS Project, Smartsheet, Jira, NetSuite, OpenAir or similar)
- Strong organisational and time management skills – able to juggle multiple priorities
- Problem-solving mindset and willingness to “lean in” to get things done
