The Role

This is a fast‑paced role offering the candidate a great deal of variety that will challenge them to hone their existing skills as well as learn many new ones. Playing a pivotal role in the ongoing success of our established organisation, you will be responsible for providing support to the project team in all activities associated with the project and contractual obligations throughout the project life‑cycle.

Key Responsibilities

Site Crews

- Schedule the construction site crews in line with project schedule requirements, and ensure optimal workforce deployment at all times
- Ensure all crews and labour hire have the required training and their work tickets and licences are current at all times
- Maintain accurate records of crew performance, certifications, and compliance wth safety regulations
- Assist in new crew members' recruitment and onboarding processes, including training coordination
- Review and sign off on weekly time sheets
- Sign off on RDOs and leave requests
- Ensure all construction registers are up to date (Tools Test & Tags, Ute Audit Toolbox, Equipment, etc)

Construction Administration

- Develop a good understanding of project scope and particulars, i.e. timeframes, administration, financials, project formal escalation and review processes, project documentation and filing requirements, etc
- Be the point of contact for various project groups. Prepare and distribute all required project documentation/reports to relevant stakeholders
- Ensure all project updates are communicated effectively and efficiently. Some of the tasks are: e nternew projects into the Register of Project spreadsheet; s et up progress claim information; a dd all invoicing requirements to the invoicing spreadsheet;set up all project folders such as ProjectBook Titles, Construction ITP, MDR Cert, Jacking setup and checklist; send all site and WHS documentation to the client as directed by the Project Manager; r un reports for invoicing for each milestone month
- Organise various meetings, prepare agendas, take and distribute meeting minutes
- Ensure site records are retained daily - such as pre-start forms, site photos, etc
- Maintain meticulous project documentation (electronic and physical files)
- Assist in the preparation of prequalification and induction requirements

- Excellent administration skills, including advanced computer literacy
- Highly organised with the ability to prioritise workload and produce work of a high standard
- Excellent verbal and written communication skills with the ability to foster interpersonal relationships across all levels
- Ability to work autonomously as well as within a collaborative team environment
