Total Tools Brooklyn is looking for a Full Time Office Administrator to join the team. The primary purpose of the Office Administrator position is to provide the highest level of administration support to enable the store to exceed customer expectations and support meeting the overall store performance levels.
As our Office Administrator, you will play a key role in supporting the day-today operations and administration of the store.
Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access
- Maintain common areas and overseeing kitchen supplies kitchen
- Order front office supplies and keep inventory of stock
- Update calendars and manage/book meeting & boardrooms
- Taking and ensuring messages are passed to the appropriate staff members on a timely basis
- Handling queries and complaints via phone, email and general correspondence
- Having food and drinks ready for special meetings on time and cleared afterwards within an hour of finish.
- Keeping refreshment supplies for meetings stocked.
- Maintaining office services as required (such as cleaners and maintenance companies)
- Perform other clerical receptionist duties such as filing, photocopying, faxing, scanning
- Assisting with mail/couriers as required
- Arrange travel and accommodations, handling event coordination, both internally and externally
- Maintain the Insider Database
- Manage all requirements for Insider events
- Logging the need for catering as requested by meeting organisers in the events calendar.

- Keen active-listening and critical thinking skills
- Discreet and professional demeanour
- Experience working a phone switchboard
- Ability to work autonomously and as part of team
