Accounts Payable Officer

At Haileybury, we are leading the way in redefining education and are seeking an innovative and people focused professional to join the Finance team, based at Keysborough.
The finance team support the four physical Melbourne campuses (Keysborough, Berwick, Brighton and City), the online campus Haileybury Pangea and Haileybury Rendall School in Darwin.
The purpose of this role is to support the Accounts Payable function in the School. Volumes are approximately 2,000 invoices per month. Timely and accurate payment to our suppliers is a critical KPI of this position. The role does require significant invoice entry and will also be responsible for the continued support of the use of purchase orders across the organisation.
Key Responsibilities
- Ensuring suppliers are paid in a timely and accurate manner.
- Management of the accounts payable inboxes.
- Distribution and follow up of invoices for approval.
- Checking coding and approval of invoices and POs adheres to the delegation authority.
- Entering invoices and matching with POs in Synergetic.
- Preparation and review of batches for payment.
- Reconciliation of supplier statements to the creditors ledger.
- Preparation of credit application forms for approval.
- Liaising with suppliers and staff regarding any Accounts Payable queries.
- Maintenance of the purchase order system.
- Training staff in the use of Purchase orders.
- Other duties as requested to support the finance team or school needs, these may include: assisting with daily banking and receipting, daily bank reconciliations, petty cash reconciliations, credit card maintenance and acquittal of credit card expenditure.
