We have an ongoing casual role available in our Pyrmont head office for a diligent and experienced Admin Assistant to work with our Senior Executives in our Content department. You will be the organizational backbone of the Content department, providing essential administrative and logistical support to the leadership team. This role is ideal for a highly organized and discreet person who thrives in a fast-paced environment and excels at enabling senior leaders to work efficiently.

Functions will also include:

- Administrative assistance to two Vice Presidents: Manage and strategically coordinate complex calendars, including scheduling high-level meetings and travel itineraries; act as a primary point of contact and gatekeeper, managing executive correspondence with professionalism and discretion; prepare and reconcile expense reports, manage departmental invoices, and track travel budgets; greet and host senior-level guests and key industry partners.

- Production & Development Coordination: Oversee the coordination and tracking of program details, dates and deadlines by liaising with internal and external stakeholders; manage the distribution of confidential materials, including contracts, scripts, production schedules, and strategic documents; monitor key production milestones across multiple projects, organize technical reviews, and update executive-level broadcast or release schedules; liaise with the production management team to ensure all logistical and resource requests are managed effectively.

- Meeting & Report Preparation: Conduct research and compile information for new projects, proposals, and strategic initiatives at the request of the VPs; prepare executive summaries, reports, and presentations for internal and external stakeholders with absolute confidentiality.

- The ability to learn quickly, use initiative, and manage multiple priorities effectively.

We are looking for someone who can commit to an ongoing role for the short-to-medium term and is available to start as soon as possible. As this is a casual role, we are open to some flexibility. Please note: this is not a senior level EA/PA role.
