About the role
We are seeking a highly organised and proactive Executive Assistant to support our Executive General Manager (EGM).
In this role, you’ll be a trusted partner ensuring the EGM’s strategic, operational, and client commitments are delivered seamlessly. You’ll manage a dynamic schedule, coordinate governance activities, prepare minutes and action registers, and act as a central point of communication across executives, senior leaders, and project teams.
Key responsibilities include:
- Coordinating and prioritising the EGM’s diary, meetings, site visits, and travel with foresight and contingency planning;
- Preparing agendas, minutes, and action registers, ensuring follow-through and accountability;
- Serving as the liaison between the EGM and stakeholders, drafting and formatting high-quality documents, presentations, and reports;
- Organising executive travel, events, forums, and client engagements;
- Managing information flows, digital filing systems, and ensuring version control across documents;
- Providing administrative and financial support such as purchase orders, invoices, and expense claims;
- Championing consistent processes, templates, and continuous improvements that streamline executive support.
About you
You are an experienced Executive Assistant who thrives in a busy, complex environment - ideally within the civil construction, resources, or engineering services sectors.
You’ll bring:
- Significant experience supporting a C-suite, General Manager, or equivalent senior executive;
- Proven expertise in calendar control, meeting governance, and action tracking;
- Advanced Microsoft 365 skills, including Outlook, Word, PowerPoint, Excel, Teams, and SharePoint;
- Strong written communication skills, with high attention to detail in documents and presentations;
- Exceptional organisational and time management skills, with the ability to juggle competing priorities;
- Professional discretion, sound judgement, and confidence in handling confidential matters;
- Excellent interpersonal skills to build strong relationships across senior leaders, clients, and project teams.
