Position Overview:

As our operations grow and regulatory demands increase, we require a skilled Office Manager to ensure streamlined administrative workflows, HR and WHS compliance, and seamless support across field and office teams. This role is essential for maintaining operational stability and facilitating service delivery in a high-compliance industry.

We are currently looking for an experienced and motivated Office Manager to oversee the day-to-day administrative and operational functions of our office. This position plays a pivotal role in maintaining a productive office environment, ensuring compliance with internal and external standards, and supporting cross-functional teams.

You will be responsible for managing administrative staff, streamlining systems and workflows, supporting HR functions, maintaining records, and acting as a vital communication link between management, field teams, and external stakeholders.

Key Responsibilities

- Develop, review, and implement office policies and administrative procedures to enhance operational efficiency. Manage general office functions including supplies, maintenance, office layout, and scheduling. Maintain accurate documentation including contracts, reports, staff files, client records, and financial documents. Oversee the preparation of business correspondence, internal reports, and company records. Supervise, train, and evaluate administrative staff performance to maintain a high-functioning team. Manage recruitment, onboarding, induction, and staff exit procedures. Coordinate staff rosters, leave planning, and team communications. Liaise with HR consultants and ensure compliance with Australian workplace laws. Coordinate payroll data, timesheets, and employee records in accordance with Fair Work Australia guidelines. Develop and monitor office budgets, expenditure records, and financial planning activities. Contribute to strategic planning and operational decision-making with senior management. Ensure compliance with OHS, Work Health & Safety (WHS), and industry regulations. Maintain up-to-date policies on workplace conduct, privacy, and data protection. Support licensing and compliance activities by liaising with legal representatives, insurers, and regulators. Serve as the first point of contact for staff, clients, vendors, and stakeholders regarding office matters. Coordinate internal meetings and briefings to support the execution of operational priorities and compliance requirements. Work closely with technical teams to support the delivery of security services on-site. Assist management in planning and execution of operational initiatives.

Required Skills and Qualifications:

- Diploma or Associate Degree in Business Administration, Management, or similar field. Minimum 1–2 years of experience in office management or senior administrative roles. Sound knowledge of HR operations, payroll procedures, and Australian employment laws. High proficiency in Microsoft Office Suite (Word, Excel, Outlook) and administrative software tools. Excellent communication skills, both written and verbal. Exceptional organizational and multitasking skills with strong attention to detail. Ability to work independently, manage deadlines, and solve problems efficiently.
