Exchange Depot is seeking an Office Manager for our depot located in Southport, QLD (239 Southport Nerang Road, Southport QLD 4215). The Office Manager will interact with visitors, customers, clients, and employees daily. We need an Office Manager with excellent organisational skills and a personable disposition to keep operations running smoothly by handling tasks such as answering phone calls, sending emails, overseeing supplies, managing schedules, and whatever else it takes to keep the company and its employees productive.
Objectives of the role:
Oversee the client experience, ensuring a personal, friendly experience for anyone visiting the office, and maintain complete accessibility with warmth of character.
Ensure peak operational efficiency and provide preventative measures by identifying issues.
Implement established policies and procedures, measure outcomes against standards, and improve operational flow when needed.
Coordinate internal and external resources and cultivate relationships with education providers.
Manage office interactions, responding to requests and questions.
Daily and Monthly Responsibilities:
Maintain office efficiency by keeping common areas tidy, organising procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment.
Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting.
Provide direct administrative support as needed, including scheduling appointments, meetings, and events, booking travel, maintaining filing systems, mailing and shipping packages, and updating contact databases and employee lists.
Oversee and maintain office equipment for uninterrupted function, identify and fulfil office supply needs, manage vendors, and coordinate food delivery as required.
Manage all aspects of the office's space/infrastructure planning (moves, additions, and changes to workstations) and provide answers, resources, and solutions as requested.
Requirements:
Australian Citizens and Permanent Residents are encouraged to apply.
1+ year of office management experience.
Diploma-level or higher qualification in Business Administration or Management (extensive work experience may be accepted in lieu of qualifications).
Strong time-management and people skills, flexibility, and multitasking ability.
Advanced computer skills and experience with online platforms.
Proficiency in Microsoft Office, with the ability to learn new software and systems.
