About The Role

In this permanent role, you will play a key part in supporting our Health, Safety, and Environment (HSE) team by ensuring the smooth operation of systems, maintaining accurate data entry and reporting, and providing reliable day-to-day administrative assistance.

Key Responsibilities:
  • Manage contractor compliance processes, including account setup, maintaining up-to-date records, and ensuring documentation is complete and current.
  • Review, track, and vet contractor-submitted documents such as insurances, licenses, and safety documents.
  • Track expiry dates of key documents and ensure timely follow-up for renewals.
  • Compile and prepare data to support monthly and ad hoc reporting requirements.
  • Maintain a structured electronic filing system in line with company procedures.
  • Identify gaps or inconsistencies.
  • Process purchase orders and invoices for approval and payment.
  • Manage the central HSE inbox: triage incoming emails and respond or redirect as needed.
  • Draft and edit HSE documentation including templates, reports, and registers.
  • Assist with the preparation and formatting of documents, reports, and meeting materials.
  • Provide administrative support for audits, investigations, and compliance checks.
  • Maintain version control of HSE documents and forms.
  • Coordinate stationery, PPE supplies, and administrative needs of the team.
  • Create training files and presentations.
About You

You're someone who takes pride in delivering high-quality administrative support with a focus on clarity, efficiency, and service.

Requirements:
  • Previous experience in an administrative role, ideally in a dynamic environment.
  • Strong proficiency in Microsoft Office Suite (especially Excel, Outlook, and Word).
  • Excellent attention to detail and a high standard of data accuracy.
  • Demonstrated initiative and ability to prioritise tasks independently.
  • Strong written and verbal communication skills.
  • Good organisation and time management skills.
  • Comfortable engaging with a range of internal and external stakeholders in a courteous and professional manner.
  • Familiarity with Health and Safety or Contractor Management systems – preferred.
  • Experience in a safety, compliance, or operational support environment - preferred.
