About the Team.
Exciting opportunity to join a recently formed new business support team that provides contract administration services across various stakeholder groups here at Sydney Water.
Contract Management Support Services (CMSS)
The CMSS team is a specialised, centralised support unit that underpins the organisation’s contract management capabilities. Offering support services for the development, administration, and continuous improvement of contract-related modules and workflows, including:
- Contract lifecycle management
- Service Level Agreements (SLAs)
- Supplier relationship oversight
- Governance and compliance processes
Operating under the leadership of the Contract Management function, CMSS delivers expertise across a wide range of procurement categories—services, goods, production, and maintenance. The team ensures that contract activities are strategically aligned with business objectives, regulatory requirements, and operational efficiency.
Purpose of the Role
To support contract managers across Sydney Water with the administration of contracts for goods and services. Using best practice knowledge and our procurement systems, ensure compliance with Sydney Water processes and help achieve financial efficiencies in the day-to‑day management of suppliers and contracts.
Key Responsibilities
The team operates in a shared services environment and performs day to day functions across;
Maximo Enterprise Asset Management system
- Work order management, creation of new jobs, job updates, attaching photos, responding to enquiries
SAP system Requisition to Pay (R2P)
- Compile purchase requisitions, reconcile purchase orders, verify and validate contractor/supplier invoices
- Goods receipting
- SES – Service Entry Sheet receipting
- CRM customer relationship module updates and enquiries
Ariba system
- Provide support to contract managers in managing their contracts
- Respond to queries from internal stakeholders
- Contract updates and administrative tasks and activities e.g. timely closure and processing of final payment claims, including closure checklists
- Assist in interpreting contract requirements and ensuring compliance in contract management plans.
General
- Contribute to continuous improvement initiatives for procurement processes, systems, tools, templates, and ways of working.
- Support contract administration activities, including pricing reviews, minor quotations, variation proposals, monthly claims, and annual purchase order activities.l
- Process invoices and payments
- Provide information for subpoenas, GIPAs, and ministerial requests as required.
Skills & Experience
- Over 3 years’ experience in business and administrative support, including procurement and vendor coordination
- Skilled in contract management across the full lifecycle
- Proficient in SAP Ariba, Maximo, R2P, and work order systems
- Strong stakeholder management and client service skills
- Proven ability to identify and implement process improvements
- Highly organised with the ability to manage multiple tasks and priorities
- Intermediate proficiency in Microsoft Word and Excel
- High attention to detail in contract and administrative work
- Experience working in large, complex organisations
- Industry background in services sectors such as water, gas, electricity, or fuel
Essential Requirements:
- You must be an Australian Citizen or Permanent Resident at the time of submitting your application to be considered for this role.
