In your Legal Team Assistant role provide support services to the Group General Counsel and to the Legal and Compliance Team.
Your responsibilities will include the provision of paralegal duties, secretarial and clerical support, assistance with the preparation of presentations and Board papers, meeting arrangements and minute taking, departmental reporting together with diary management and general legal and compliance administration duties.
A team player with a ‘can do’ attitude, as well as a high level of flexibility, discretion and confidentiality is required to be successful in this role.
**Responsibilities**:
- Coordinate the business diary for the Group General Counsel and ensure the availability of relevant agendas and supporting papers for meetings and engagements.
- On behalf of the Group General Counsel, pro-actively follow up with managers across the Group on matters for which they have responsibility.
- Develop and maintain an extensive network of contacts, and a strong awareness of business developments and priorities, across the Group so that issues which arise can be viewed in an appropriate context.
- Prepare ASIC forms.
- Assist with the drafting of pro forma contractual documents such as non-disclosure agreements and standard form contracts.
- Prepare drafts of presentations and papers for Board, Executive and regular committee meetings, together with ad-hoc papers and correspondence as required.
- Assist Legal team with the preparation of documentation for amendments, withdrawals, mergers and dissolutions of corporations or partnerships.
- Support the Compliance team by partnering with stakeholders within MMS business units to manage the collation of incident and breach reporting, including obtaining supporting documentation, or as otherwise as directed by the Compliance Monitoring Manager.
- Maintain electronic and physical filing systems for matters including creating files for matters, scanning of documents, maintaining the executed documents register, matter lists and external advice register.
- Maintain electronic and physical filing systems for contracts including scanning documents, preparing contract folder packs, maintaining the mail register and archiving of contracts.
- Schedule regular and adhoc meetings for Group General Counsel and the Legal team ensuring phone conferences and video conference facilities are available where required. Organise and attend a variety of scheduled weekly meetings, and act as primary minute-taker. Prepare drafts of minutes and agendas, distribute when finalised and follow up with the respective teams about outstanding action items.
- Collate and produce a variety of regular and ad-hoc departmental reporting including budget variances, resource planning etc.
- Compilation of Legal budget which includes high volume and complex transactions requiring regular re-forecasting and analysis by the Group General Counsel.
- Organise travel and accommodation for Legal and Compliance team..
- Organise internal and external functions and meetings for the Legal and Compliance team, including organising meeting rooms, audio visual equipment, catering and ensuring team presentations are collated and in a consistent format
- Process high amount of monthly invoices from external suppliers
- Maintain adequate stationary provisions for Group General Counsel and the Legal and Compliance team
