**What this opportunity involves**:
We are currently seeking a highly motivated and detail-oriented individual to join our team as a Facilities Coordinator. As the Facilities Coordinator, you will be responsible for overseeing and managing the day-to-day operations of our office facility. You will work closely with various departments and vendors to ensure the smooth functioning of the facility and provide excellent service to our clients.
**An Overview of the role**:
Engage and oversee the day-to-day operations of the site
Conduct facility walkthroughs and observations to identify areas for improvement
Manage pantry and café operations
Ensure timely workorder management
Maintain the asset register
Coordinate and distribute mail and courier services
Liaise with the IT team for server room maintenance
Assist client employees with facility requests
Support event arrangements and client visits
Uphold on-site health and safety
Maintain emergency response plans related to facilities
Manage facilities vendors, contracts, and inventory
Track budget and monitor spending and variances
Contribute to energy-saving initiatives
Ensure adherence to PO to Pay process and submit accruals
Provide inputs for CAPEX and year-on-year reporting
Perform additional tasks as directed by the Operations lead or Account Director
Timely and accurate submission of MIS reports and other required documentation
Conduct monthly meetings with business unit and landlord teams

Bachelor's degree in facilities management or a related field (preferred)
Previous experience in facilities coordination or a similar role within the commercial real estate industry
Strong organizational and time management skills
Excellent communication and interpersonal abilities
Knowledge of facility operations and maintenance best practices
Proficiency in using computer systems and facility management software
Ability to work independently and handle multiple tasks simultaneously
Proactive mindset and ability to think critically and problem-solve
Understanding of health and safety regulations
