Key Responsibilities:
- Generate accurate, complete, and timely invoices using billing software.
- Perform general office duties, including filing, scanning, and data entry.
- Assist the bidding manager in preparing bids, formatting documents & spreadsheets, and organising meeting schedules via calendar and Gantt software.
- Manage the procurement of office supplies, equipment, and furniture.
- Oversee the maintenance of office facilities and equipment.
- Coordinate diaries and organise meetings.252,999.75
- Arrange transport and accommodation as needed.
- Data entry to track job costs through FileMaker.
- Handle HR responsibilities, including on-boarding new employees.
- Weekly payroll including management of hours, leave entitlements, reimbursements, and other payroll duties.
- Manage subcontractor records.
- Accounts payable and accounts receivable.
- Perform other ad-hoc duties as assigned by senior management.
- Exhibits a positive attitude and a “can-do” spirit.
- Demonstrates attention to detail and a focus on quality.
- Has extensive experience in financial activities, particularly invoicing.
- Possesses excellent communication skills, both verbal and written.
- Skilled in using data for compelling and actionable business insights.
- Organised and methodical, with outstanding time management skills.
- Experienced in handling confidential material.
- Enjoys collaborating with teams to understand business needs, manage stakeholder requirements, and set expectations.
- Thrives in a dynamic environment, managing personal priorities and deadlines.
**Requirements**:
- MYOB Proficiency: Must have proven experience and proficiency in using MYOB software for accounting and financial management tasks.
- Construction Industry Experience: Essential to have prior experience working in the construction industry, with an understanding of its unique operational and administrative demands.
- Administrative Skills: Strong capabilities in general office administration, including data entry, record management, and document preparation.
- Financial Management: Experience in managing accounts payable and receivable, and a solid understanding of financial processes within the construction sector.
- Communication Skills: Excellent verbal and written communication abilities, essential for effective collaboration with team members and external stakeholders.
- Organisational Abilities: Highly organised and capable of managing multiple tasks and priorities efficiently.
- Teamwork and Collaboration: Ability to work effectively as part of a team, understanding the importance of collaborative effort in achieving business goals.
- Problem-Solving Skills: Adept at identifying and resolving issues proactively, ensuring smooth office operations.
- Discretion and Confidentiality: Must handle sensitive information with discretion and maintain confidentiality at all times.
- Technology Savvy: Comfortable with using various office technologies and software, with a quick adaptability to new systems, including Excel.
- Educational Background: Preferably a bookkeeping or related diploma, but not required.
