**Who are we?**
- Wintringham is a not-for-profit organisation providing an extensive range of aged care, housing and related support services to people aged 50-plus who have been homeless or at risk of homelessness. We employ over 950 staff and operate from multiple offices across Melbourne, regional Victoria and Tasmania.
- Wintringham and Wintringham Housing Limited own and operate a diverse and rapidly expanding property portfolio, within Victoria and Tasmania. It includes Residential Aged Care Facilities, independent living units, and offices. We develop to own, and we manage properties on behalf of other organisations. The Asset Services department is charged with the responsibility of maintaining and enhancing Wintringham’s assets to ensure the organisation can continue to provide a safe and secure environment.

**Your responsibilities and duties will include**:

- Operate a ‘Help-desk’ to resolve, triage or escalate requests as appropriate
- Administer & maintain up-to-date records to agreed standard, including; service reports, audit reports, manuals, plans, contractor lists and registers
- Processing of Asset & Property related invoices through ERP system EPICOR
- Daily management of work order processes such as purchasing, updating asset information, closing work orders, & recommending payments
- Scheduling work orders for preventive maintenance with external contractors using asset management software (CMMS)
- Assist Asset Services & Property Services managers with ad-hoc administrative tasks
- Assist in development of training and process documentation
- Assist with maintenance of service contracts and providers
- Monthly credit card reconciliations
- Assist in the annual budget preparation process
- Undertake procurement activities including searching for, comparison, assessment, recommendation and ordering of goods and services
- Advanced computer literacy including excellent knowledge of the MS suite, demonstrated experience using ERP or Cloud based computing
- Exposure to or prior experience in Asset and/or Facilities Management _is desirable_
- Exposure to or prior experience in scheduling work orders _is desirable _
- Excellent phone manner and customer service skills
- Experience in providing secretarial/administrative support
- Experience in managing accounts and invoices
- A caring and helpful attitude with the ability to liaise respectfully with management, staff, and tenants
