Our client is a Registered Training Organisation focused on developing career paths for individuals currently working in, entering, or considering employment in the relevant industry. We are currently seeking a Training Coordinator:
**About You**:
Effectively coordinate all systems and services as well as accurately execute all policies and procedures, relating to student management. Lead and coordinate the performance of Trainers and course scheduling of training delivery while maintaining state and federal contract compliance obligations.

**Responsibilities**:
**Admissions/On-Boarding**
- Process and enter enrolments into VETtrak, after confirming eligibility against contracts, and the correct occurrence as per program outline
- Monitor and provide information to managers/sales team on class numbers
- Generate training plans with correct unitstart and end dates as per program outlines
- Accurately and efficiently set up student invoicing and notify trainers of new student enrolments
- Set up the student’s access to the Learning Management System
- Liaise with Campus Support Officers or Student Support Officers to ensure a smooth on-boarding process

**Student Progression**
- Track and monitor student progression and end datesin VETtrak and the LMS as well as assist the trainers with reporting accordingly
- Generate weekly caseload reports for trainers & managers
- Work as part of a team to ensure that Trainers & Assessors are using the latest and relevant course materials and assessments
- Ensure Trainers& Assessors are aware of and are following all administrative requirements necessary for training and assessment compliance
- Accurately and efficiently maintain all student records including data relating to training and assessment delivery into VETtrak
- Monitor and report on Trainer assessment submissions to confirm delivery
- Monitor and report on trainer’s monthly workplace/User choice training visit (if applicable)

**Completions**
- Timely issuance of accurate and compliant qualifications to students
- Finalise and archive student records in VETtrak
- Ensure lodgements are submitted according to state requirements
- Assist with the coordination of student graduations if applicable
- Administer the feedback process for various stakeholders including student and employers in relation to course and training satisfaction

**General**
- Work co-operatively with other staff and business units to achieve organizational objectives
- Manage and maintain own professional development
- Adhere to company’s policies and procedures and WHS guidelines

**Key Performance Indicators**:

- Students to receive access to Student Management System within 1 business day from class commencement
- All student enquiries must be acknowledged within 1 business day and resolved within 2 business days
- Student results to be entered into VETtrak within 5 business days from trainer’s

submission date after competency judgement is made; accept if they occur at the end of the month, in which case ensure they are entered before the last day of the month in which they occur
- Student awards are issued within 10 business days from final competency judgement being made.
- Students’ information in VETtrak is 100% accurate.
- Monthly and accurate reports on training and assessment data provided to management
- Contract claiming and timelines accurately reflect State and Federal contract Obligations

**Essential Skills and Experience**:

- Knowledge and experience in use of VETtrak or similar student management systems
- Demonstrated high level analytical and problem solving skills, including the ability to think laterally on issues for the purpose of managing anomalies in course delivery and claiming
- Ability to coordinate and plan and manage projects a set priorities and meet deadlines within a complex and changing environment
- Highly developed written communication skills with experience in the preparation of course documents, schedules and reports
- Excellent verbal communication and negotiation skills, including the ability to deal effectively with a diverse range of clients, stakeholders and authorities.
- Highly developed time management and multi-tasking skills
